Terms of Service

Last updated: 10 July 2026

1. Agreement

These Terms of Service govern access to and use of VitiRun, including payroll, HR, employee self-service, documents, reporting, export tools, subscription management and support services. By using VitiRun, you agree to these terms on behalf of yourself and, where applicable, the company or organisation you represent.

2. The Service

VitiRun helps Fiji businesses manage payroll and HR workflows. Features may include payroll calculations, payslips, bank-file preparation, statutory filing support, staff records, leave, timesheets, onboarding, document studio, employee portal, reports, audit logs and subscription-gated modules.

Some features are available only on certain plans or when enabled by an administrator. Marketing page selections or quotes do not unlock product access until the relevant subscription is created and activated.

3. Accounts And Access

  • You must provide accurate company, billing, payroll and user information.
  • You are responsible for keeping login credentials secure and for all activity under your account.
  • Company administrators control team roles, employee self-service access and module permissions inside the service.
  • You must promptly remove or disable users who should no longer access payroll, HR or employee records.

4. Subscriptions, Billing And Modules

VitiRun may charge by base plan, selected modules, employee count, billing period or other agreed commercial terms. Access to payroll, HR, portal and advanced features depends on the active subscription and enabled modules recorded for the company.

  • Fees, included employees, per-employee charges and module prices may be shown on the marketing site or agreed directly with you.
  • Annual pricing requires payment of the full annual amount in advance. It is not a month-to-month payment with an annual commitment.
  • Plan, module and licensed employee-count changes take effect from the next billing cycle unless VitiRun and the customer explicitly agree in writing to an immediate change and any related charge.
  • Unpaid, expired, suspended or terminated subscriptions may be blocked from using the service.
  • Plan changes can add or remove access to features. You are responsible for checking that your active plan matches your operational needs.

No refund policy. To the maximum extent permitted by law, all payments to VitiRun are final and non-refundable once paid. This includes subscription fees, setup or configuration fees, module add-ons, employee-count charges, annual payments, unused time, cancellations, downgrades, reductions in employee count, or a decision not to use enabled features. Cancelling, downgrading or removing modules stops or adjusts future charges from the next applicable billing cycle, but it does not create a refund or credit for current or past billing periods.

Any credit, waiver or refund offered by VitiRun is discretionary, must be confirmed in writing, and does not create an obligation to provide the same treatment again. If applicable law requires a refund, VitiRun will provide only the refund required by that law.

5. Customer Responsibilities

VitiRun is a software tool. You remain responsible for reviewing payroll, employment, tax, FNPF, banking, leave, termination, statutory filing and HR decisions before relying on or submitting them.

  • Check employee details, pay rates, bank information, statutory references, leave balances and payroll outputs before payment or filing.
  • Confirm that exported bank files, payslips, FRCS/FNPF files and reports are suitable for your bank, accountant, regulator or internal process.
  • Use qualified payroll, tax, employment, accounting or legal advice where required.
  • Keep your own operational controls, approvals, backups and business records as required by law and good practice.

6. No Professional Advice

VitiRun may support payroll and compliance workflows, but it does not replace professional legal, tax, accounting, employment or financial advice. We do not guarantee that every output will be accepted by a bank, regulator or third party without review.

7. Employee And Payroll Data

You must have the right to enter, store, process and share employee, contractor, payroll, bank, tax, FNPF, document and HR information in VitiRun. You are responsible for notices, consents, employment records and lawful handling of employee data within your organisation.

8. Acceptable Use

You must not misuse VitiRun, attempt to bypass access controls, upload unlawful or harmful content, interfere with service operation, reverse engineer the service, scrape data, attack the system, or use the service for fraudulent, illegal or unauthorised activity.

9. Confidentiality And Security

Both VitiRun and customer companies must treat payroll, HR, employee, bank, statutory and commercial information as confidential. We maintain safeguards designed for sensitive payroll operations, but you are responsible for your internal access controls, devices, passwords and user training.

10. Intellectual Property

VitiRun, the software, design, workflows, content, icons, documentation and related materials are owned by VitiRun or its licensors. Customer companies retain ownership of their company and employee data. You receive a limited right to use VitiRun during an active subscription and only as permitted by these terms.

11. Service Availability And Changes

We aim to keep VitiRun reliable, secure and useful. The service may be unavailable during maintenance, updates, outages or provider interruptions. We may improve, change, rename, add, remove or limit features, modules and pricing over time.

12. Suspension And Termination

We may suspend or terminate access if fees are unpaid, the subscription has expired, security risk is detected, account information is inaccurate, these terms are breached or continued access may create legal, security or operational risk. You may stop using the service or request account closure, subject to any agreed billing terms and data-retention requirements.

13. Disclaimers And Liability

To the maximum extent permitted by law, VitiRun is provided on an "as is" and "as available" basis. We are not liable for indirect, special, consequential, punitive or loss-of-profit damages, or for losses caused by incorrect customer data, unauthorised customer users, bank or regulator rejection, third-party services, or customer failure to review outputs.

14. Governing Law

These terms are intended to be governed by the laws of Fiji, unless a separate written agreement states otherwise. The parties will first try to resolve disputes in good faith before taking formal action.

15. Changes To These Terms

We may update these terms as VitiRun, subscriptions, modules, pricing or legal requirements change. The latest version will be posted on this page with a new last-updated date.
